Why This Policy Reads Differently Than Most

Most privacy policies are copy-pasted templates that say nothing about what a company actually does. Ours isn’t. Practice Management 360 sits in an unusual position: we’re not just a website collecting your email address — we’re a partner that, depending on the services you engage us for, may handle sensitive practice data, billing information, and in some cases Protected Health Information (PHI) on behalf of the medical practices we serve. That means our privacy obligations run deeper than a typical marketing site, and we think you deserve a policy that reflects that, not boilerplate.

This policy explains what we collect, why we collect it, how it’s protected, and what happens to it — whether you’re a visitor browsing our site, a prospective client requesting a consultation, or a practice actively using our credentialing, billing, scheduling, or marketing services.

Who We Are

Practice Management 360 LLC (“PM360,” “we,” “us,” “our”) provides end-to-end practice management services for medical providers — including legal setup and compliance support, insurance credentialing, medical billing and coding, denial management, patient scheduling systems, and website/marketing services.

Information We Collect

When you visit our website:

Standard technical data (IP address, browser type, device information, pages visited) collected automatically through our hosting and analytics tools

Images and media on our site are served through a third-party image optimization service, which may log basic request data as part of normal delivery

When you become a client: Depending on which services you engage, we may collect and process significantly more — including:

Practice and provider licensing information (for credentialing and legal/compliance work)
Billing, claims, and reimbursement data, which may include Protected Health Information (PHI) as defined under HIPAA (for billing, coding, and denial management/AR collections services)
Scheduling and patient contact data, if you use our scheduling or remote assistant services
Financial and business information relevant to building your custom service package

We only collect what’s necessary for the specific services you’ve engaged us for. A practice using us solely for website design will not have their billing data touch our systems, and vice versa.

How We Use Your Information
To respond to consultation requests and provide quotes or custom service packages
To deliver the specific services outlined in your engagement (credentialing, billing, scheduling, marketing, etc.)
To communicate with you about your account, ongoing work, or service updates
To improve our website and services based on aggregate, de-identified usage patterns
To meet legal, regulatory, and payer requirements tied to credentialing and billing work
We do not sell your personal information or your practice’s data to third parties, ever.

How We Handle Protected Health Information (PHI)

For clients who engage our billing, coding, denial management, or scheduling services, PM360 may act as, or work alongside, a Business Associate as defined under HIPAA. Where applicable:

We enter into a Business Associate Agreement (BAA) with your practice before handling any PHI
PHI is used only for the purposes defined in that agreement — never for marketing, never shared outside the scope of the engagement
Access to PHI is restricted to team members directly involved in delivering your services
We maintain administrative, physical, and technical safeguards consistent with HIPAA Security Rule requirements

If you have questions about our HIPAA compliance posture, ask — we’ll walk you through it directly rather than pointing you to a generic clause.

Third-Party Services We Use

Like most modern service businesses, we rely on a small set of vetted vendors to run our operations — for example, website hosting and content delivery, image optimization, and scheduling or communication tools. These vendors process limited technical data (like page requests) strictly to deliver their function, not to build profiles on you. We do not authorize any vendor to use your data for their own purposes.

Data Security

We apply reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the data involved — stronger protections for billing/PHI data, standard protections for general website inquiries. No system is 100% breach-proof, and we’ll tell you plainly if that ever changes for data we hold, consistent with applicable breach notification laws.

Data Retention

General website inquiry data is retained only as long as needed to respond to your request, or per standard analytics retention windows
Client and billing records are retained according to the timelines required by HIPAA, payer contracts, and applicable state/federal recordkeeping law — typically longer than general marketing data, by legal necessity
You can request deletion of non-essential personal data at any time by contacting us directly; retention tied to legal or regulatory obligations cannot be shortened on request

Your Rights

Depending on your state of residence, you may have rights to access, correct, or request deletion of your personal information, and to opt out of certain data uses. To exercise any of these rights, contact us at hello@practicemanagement360.com and we’ll respond directly — no automated runaround.

Changes to This Policy

If we materially change how we collect or use data, we’ll update this page and, for active clients, notify you directly rather than relying on a silent date change at the top of the page.
